How to choose a school ERP for a small school

This is a buying checklist for a small Indian school office. Ignore superlatives. Check modules, import, parent access, fees, implementation, support, pricing and documented limits.

Start with the work you already do

Write down the jobs that consume office time: student records, attendance, fee follow-up, homework questions, timetable questions, enquiry follow-up. Buy software for those jobs first. A product page should make the same list obvious—see what NotifyHub School includes as one example of a published module list.

Required modules for the first term

For most small schools the first-term list is short: a master student and parent list, attendance teachers will actually mark, fee invoices and receipts if you collect fees, and a parent login for the questions families already ask.

  • Student and parent records, with a way to import an existing list.
  • Daily attendance and a simple way parents can see absences.
  • Fee plans, invoices and receipts if fees are collected at the office.
  • Homework and timetable if parents currently call for those.
  • Roles so teachers are not accountants.

Ease of use

Ask who will mark attendance on a busy morning, and who will issue a receipt. If the answer is “the same two people who already run the office,” the product has to be learnable without a dedicated IT owner. In a demo, time a class attendance mark and a fee receipt—not a slide tour.

Data migration

Ask what can be imported from Excel or CSV, and what cannot. Cleanup is usually the real project: one row per student, consistent class names, working parent mobile numbers. How to prepare a student spreadsheet describes that work for NotifyHub School, including the fee-import gap.

Parent experience

Ask how parents log in, whether siblings share one login, and what they can see without calling the office. OTP on a mobile number is a common Indian pattern. Confirm whether homework, attendance, timetable, fee balances and results are in the same portal.

Fees and attendance workflow

These two jobs generate most office follow-up. Confirm whether attendance is class-wise, whether parents see it, and whether fees are office collection, online payment, or both. If online pay is a hard requirement, treat that as a disqualifier for any product that does not have it yet—including NotifyHub School.

Implementation

Ask whether there is a local server, who does the first academic-year setup, and whether you can overlap with registers for a short period. There is no honest one-size timeline. Time depends on how quickly your office can provide a clean student list and confirm fee plans.

Support

Ask what happens in the first month: email only, a named onboarding person, or a walkthrough after import. Match support to how confident the office is with new software, not only to student headcount.

Pricing

Ask what is included for your student count, whether WhatsApp or SMS usage is extra, and whether the quote is a published list price or a custom quote. NotifyHub School publishes Starter, Growth and Enterprise plan names and quotes after a demo. What typically affects school ERP cost in India explains the cost components without invented rupee tables.

Limitations to put on the scorecard

Ask every vendor to state what is not available today. For NotifyHub School the public list includes: online parent fee payment, push notifications, printable PDF report cards, multi-branch, fee data import, and full HR/payroll. That list is useful even if you evaluate other products—use it as a template for questions.

Where NotifyHub School sits on this checklist

NotifyHub School is a cloud school ERP for small and growing Indian schools, typically around 100–500 students on a single campus. It covers students, attendance, office fee collection, homework, timetable, admissions enquiries, examinations, staff administration and parent communication. It is a reasonable option to evaluate if you want simple software rather than a campus-wide suite. It is not the right shortlist item if you require online fee gateways, multi-campus, or board-certified report PDFs on day one. School ERP for small schools is the product page for that fit.

Questions this guide answers

Should a small school buy the biggest ERP?

Usually no. Unused modules still create training and login complexity. Match the first-term workflow.

What should we bring to a demo?

Student strength, whether you use Excel or registers today, and the two jobs that waste the most office time. For NotifyHub School, book a demo from the contact page after you have that list.
