When Excel is enough
A very small school can run for a while with a student sheet, a fee sheet and a paper attendance register. Excel is familiar, cheap and flexible. If one person owns the files, backups exist, and parents are few, this can work.
Where Excel usually breaks
Problems appear when more than one person edits the same list, when fee concessions vary by student, or when parents expect to see attendance and dues without calling the office.
- Two people open the same student file and overwrite phone numbers.
- Fee outstanding is recalculated in a new tab every month.
- Attendance in a register does not match the SMS list.
- There is no parent login—only forwarded screenshots.
What a school ERP changes
A school ERP keeps one student record that attendance, fees and the parent portal can all use. That is the architectural difference: Excel is a document. An ERP is a shared system with roles.
NotifyHub School fits this use case for small Indian schools: cloud software, Excel/CSV import for students and related master data, office fee collection, and a parent portal. It does not import fee rows from Excel, and it does not yet take online parent payments. What the school ERP includes and how to move the student list are the next practical pages.
A practical decision rule
If your office still spends evenings rebuilding fee outstanding lists, or teachers still photograph homework into WhatsApp, a school ERP is likely to pay back the switching effort. If you have 30 students and one workbook that never conflicts, you can wait.
Excel compared with a school ERP for daily school work
| Need | Excel / registers | School ERP such as NotifyHub School |
|---|---|---|
| Student list | One spreadsheet, easy to duplicate | One record, import from Excel/CSV |
| Attendance | Paper or a separate sheet | Class-wise marking and parent visibility |
| Fees | Manual outstanding tabs | Invoices, office receipts, reports |
| Parents | Calls and WhatsApp | OTP parent portal |
| Permissions | Whoever has the file | Roles for teacher vs accountant |
Questions this guide answers
Can we keep Excel after we adopt NotifyHub School?
Many schools keep Excel as an export or backup habit. Day-to-day attendance and fees should live in the ERP so parents and reports stay consistent.
Will NotifyHub School import our fee spreadsheet?
No. Fee data import is not available. Student, parent, enrollment and academic structure imports are.
